We are looking for an IT Project Manager to help deliver a range of IT projects based from our Dublin office.

The IT Project Manager role is a key position, but it is not a technical role which requires extensive IT knowledge.

The IT Project Manager will work with IT and staff across Concern to solve problems with suitable technical solutions, using project management principles and methods to ensure efforts lead to best outcomes. An interest in IT is essential, but the skills we need are those of an organiser who can ‘make things happen’ and deliver high quality results. You will be working with others and well supported, but with a good degree of autonomy.

Concern Worldwide has an IT team based in Dublin and IT Officers based in all our 27 countries, and together we support and develop systems that allow our staff to work with each other, collect and use important data, communicate with partners, report to donors and manage our work effectively.

IT Project Manager Job Purpose:    

  • To work with Concern’s internal staff community to ensure required technical solutions meet business functional needs and are delivered using appropriate project management methodology
  • Provide project management support for technology teams working to deliver or improve tools for the global organisation

Key Responsibilities:

  • Manage the entire project cycle for tech projects from inception, via approval, planning phase, design, test, deployment and handover to customer or IT Operations team
  • Research and review technology solutions to ensure they are ‘fit for purpose’ and best value for money for Concern in the short and long term
  • Report on project progress to internal and external stakeholders with accurate and timely information
  • Produce materials to support new systems e.g. User Handbooks, Technical Support Guides etc.
  • Deliver staff training where necessary, using online tools to suit specific audiences

Delivery of Projects

The person in this role will work closely with teams across the worldwide organisation to assist in design, implementation, delivery and ongoing support of technology solutions to meet business needs. This will include:

  • Early stage research into projects, agreeing Problem Statements and assessing complexity of business processed involved
  • Facilitation of requirements gathering and needs assessment workshops with staff to understand project scope prior to approval
  • Translation of functional requirements into technical specifications in collaboration with technical staff, producing clear documentation
  • Creation of work plans using realistic effort estimates and milestones, deadlines etc.
  • Actively engage with staff to encourage uptake of new tools, workaround issues and communicate clearly with relevant staff on changes to ways of working
  • Manage Risks carefully throughout the project and ensure mitigations are identified in good time and put in place when appropriate

Reporting on Projects

  • Preparation of materials and presentation to IT Management and occasionally Senior Management Team at key stages of high priority projects e.g. Seeking funding, approval to begin, mid-point review, impact review
  • Provide additional updates to the Project Sponsor and Solution Delivery Manager to ensure they are happy with progress, these may be scheduled or on request so plans need to be kept up to date
  • Liaise with 3rd Party service providers and vendors as required, defining contracts, managing quality of deliverables, managing license life-cycle etc.
  • Invoke escalation procedures in a prompt and timely manner to ensure project timelines and budgets are maintained

Training and Handover

  • Provide clear instructions for users on all new technology projects to suit specific needs. This may include technical manuals, user guides, video or eLearning materials, or delivering classroom training
  • Ensure IT Support staff have necessary guidelines to support systems beyond rollout and update all materials following upgrade or system changes
  • Implement Change Control processes for post-deployment management of systems and work with system owner to schedule future change phases 

Representing IT on other projects

  • Often we are asked to help planning or running projects run by other departments which have a technology element. You may also be asked to attend meetings where technology is being discussed and advise on best practice. By doing so you can also update IT and our CIO on progress of such projects

Skills and Experience Required:

Essential:

  • Qualification in Project Management (Prince2, PMI or similar)
  • 3+ years of experience working in project management
  • Proven track record in delivering projects on time and within budget
  • Positive attitude to working with others and actively listening to needs
  • Proactive problem solver with excellent people and communication skills
  • Confident leading meetings, facilitating decision making and explaining how technology works

Desirable:

  • Interest in or knowledge of commonly used technologies e.g. mobile data, cloud solutions
  • Knowledge of and experience working in the non-profit sector
  • Business Analysis skills in process workflow design and documentation
  • Experience improving business processes to enable staff to work more effectively
  • Understanding of User Centred Design principles and practice
  • Client and vendor relationship management experience
